What each part of the RFQ should capture

The RFQ form collects contact, item, specification, material, coating, quality, logistics and upload-consent details in one workflow. Provide what you know for each area; the technical review requests any missing governing requirement before the order-specific supply scope and quotation are confirmed.

1. Company and Contact Details

Provide your contact name, business email, company, buyer role or department, country and preferred contact method. Use business contact details so technical and commercial clarifications reach the person responsible for the requirement.

2. Add Products or Upload a BOM

Add each item as a separate line with its quantity, or submit a multi-item fastener RFQ through the approved BOM upload control. Keep the part number and drawing revision consistent across the form and attachments.

Drawing, Standard or BOM

For a custom fastener quote, include the controlled drawing or customer specification. For a standard part, state the complete standard number and revision. A photograph or sample description can support clarification but does not replace the governing requirement.

Dimensions, Thread, Material and Property Class

State the applicable diameter, length, thread system and pitch, head or drive, product-specific geometry, material or grade, and mechanical property class. Do not treat metric and inch classes as automatic substitutes.

Coating, Corrosion Target and Application Notes

Identify the coating or finish, target thickness when controlled, salt-spray requirement and acceptance basis, color or lubricant where relevant, and the end-use environment. Safety-critical or validated applications should include the customer specification and approval requirements.

Quality, Inspection and Documentation Requirements

Select the required MTC or CMTR, certificate of conformity or origin, dimensional or mechanical report, coating evidence, PPAP or first-article package, third-party inspection, traceability and labeling scope. Availability is confirmed against order-specific production capability and the quotation scope.

Quantity, Incoterm, Packaging and Destination

Provide quantity per item, annual volume when known, preferred EXW, FOB, CFR or CIF term, destination country and port or city, packaging and labeling requirements, and target date. MOQ, delivery term, shipment plan and lead time are confirmed in the project quotation.

File Upload, Confidentiality and Consent

Attach only business and technical files you are authorized to share. Before submission, review the published privacy and drawing-upload terms shown with the form, including accepted file types, limits and data handling. Marketing consent must remain optional.

MOQ, lead time, price and delivery plan

MOQ, lead time, price and delivery plan are confirmed only in the project quotation. No fixed MOQ, lead time, price, payment term or response time is guaranteed at submission.

Substitutions on validated parts

Customer engineering approval governs substitutions or changes to safety-critical and validated parts. Do not treat ISO, DIN, ASTM or SAE references as automatic drop-in equivalents.
